How does Podymos onboard new clients?
Starting work with a new agency can be a nerve-wracking time for a medical device company. How can you be sure that they’ll accurately represent your device? Are you going to have to spend far too much time getting them up to speed and redoing inaccurate work?
We understand these worries - Podymos was founded in response to experiencing these frustrations first-hand. So, we want to put your mind at ease by providing you with an overview of our onboarding process. You’ll get to see what you can expect when working with us, and you’ll gain an understanding of the steps we have in place to ensure efficiency and accuracy in our work.
What is onboarding?
Before we dive into our process, let’s take a look at what we mean by onboarding.
When we start working with you, we like to take the opportunity to understand who you are and how we can be most helpful to you. It’s a chance for us to review your brand materials and discuss upcoming projects.
Onboarding is a two-way process and a good opportunity to ask questions and discuss your goals and aspirations so we can help you achieve them.
Getting to know you
Like any good relationship, getting to know each other is essential. At Podymos, the onboarding process is just that—a process.
It’s where you get to understand how we work, and we get to understand who you are, your objectives, likes, dislikes, and hopes.
Who is involved?
During the initial meetings, you’ll meet with an Account Director, who will ask questions to help us match you with a specialist Account Manager. Your Account Manager will then be fully briefed before meeting with you, so they can hit the ground running.
All our Account Managers come from a medical device background, so you can be confident that we’ll be speaking the same language as you from the start. Our aim is to be 80% up to speed with your technology before we even speak, so you only need to fill in the last 20%.
Brief calls
Once you have been introduced to your Account Manager, each project will have a brief call. A brief call is an opportunity for you and us to fully explore what you’d like to achieve.
During this call, the scope of the project will be outlined, questions asked, the direction clarified, and timescales set. This really allows us to work smartly by fully exploring the brief before we start. During this call, we will also highlight any areas that may improve the impact of your project, ensuring each project delivers the results you’re after.
Looking for an agency that specialises in medical device marketing?
Accurately maintaining your brand's consistency
Your brand guidelines communicate who you are, how you want to be perceived, and serve as your company’s voice. We pay close attention to ensuring the consistency of your brand across different materials and channels.
This involves analysing elements such as logos, typography, colour schemes, and visual identity to ensure they align with your established brand guidelines, and neatly ordering them into a brand guide.
This is a fantastic, centralised guide for everyone at Podymos and allows us to work quickly and accurately, so you don’t have to worry about us missing important details.
Tracking clinical references
We understand the importance of accurately referencing your marketing materials. We use a system called Zotero to keep all your references and documents in order.
We even add detailed notes on Zotero, allowing us to track the claims each paper supports.
This system is accessible to the whole team, making it easy to access, maintain, and update your references to ensure we deliver accurate projects that are thoroughly referenced.
How will our team understand your specialist medical device?
Everyone at Podymos comes from the medical device industry, so your Account Manager and the team behind them will have a good understanding of the industry, its regulations, and hands-on clinical experience.
Furthermore, each member of our team has three hours of dedicated learning time each week, which is spent researching further into our clients’ fields to ensure we stay up to date with the latest technologies and advancements.
This in-depth knowledge increases efficiency and accuracy, as the team has worked directly in the industry and continues to build on that experience, allowing them to quickly adopt your product.
